Data Control Specialist Major Duties or Responsibilities: Data Acquisition - Ensures the integrity, quality, and validity of the data received by visually reviewing incoming records, consolidating data reported from multiple sources into one tumor record using the best data from all sources
- Determines the best/most accurate information to be recorded in the database based on the information provided from single or multiple sources in order to provide the most accurate data.
- Abstracts cancer cases with very limited information supplied by pathology laboratories or small facilities sometimes with limited, complex, vague, or incomplete information
- Stays current on the most up-to-date cancer reporting (national and state) standards and cancer treatments and ensuring that incoming data abide by these standards.
- Reviews duplicate reporting
- Coordinates with delinquent reporting facilities to address barriers to reporting and meeting the different needs of registrars and tumor registries
Quality Assurance - Implements and monitors quality assurance procedures to ensure the cancer data is of high quality by reviewing a minimum of 10% of incoming cases.
- Edits and corrects data discrepancies.
- Documents quality inconsistencies or errors and report back to reporters to facilitate learning.
- Tracks reporting facilities on timeliness and quality of data submissions.
- Assists training cancer data providers on case finding, abstracting, and reporting.
- Identifies and tracks vital data quality indicators and run frequencies for those variables.
- Informs data reporters on a regular basis on the statuses of reporting, quality, and timeliness.
- Updates or revises user manuals to provide accurate procedures for the quality assurance procedures in place.
- Conducts on-site facility visits and audits, if needed, develop reports of audit findings, and consult with hospital staff to review audit results.
Training - Identifies areas where training is needed based on visual review and data quality indicators.
- Provides technical assistance to data providers related to case reportability, clearing edits, abstracting appropriate information.
- Develops training and/or presentations to data providers (or work with appropriate trainers at yearly cancer registry meetings) to educate data providers on data standards; informs data providers on reporting standards and changes in standards.
